Personal data we process 

'SVC Groep' processes personal data of customers when they use our services and/or customers provide these data to us themselves. 
  
Below is an overview of the personal data we process with respect to the following categories: 
  1. Customers and employees of customers; 
  2. Applicants, employees and other natural persons working under our responsibility; 
  3. Payroll administration. 
For each category we also specify the purposes of the processing and who has access to the personal data. 
 

1. Customers and employees of customers 

  1. Processing is carried out only for the following purposes:
    1. identification
    2. establishing a risk profile under the Wwft;
    3. maintaining contacts with clients;
    4. performing work as agreed with clients;
    5. the implementation or application of another law.
  2. No data other than:
    1. name, first names, initials, titles, gender, date of birth, address, postal code, place of residence, telephone number and similar data necessary for communication, as well as bank account number of the data subject;
    2. copy of identification document;
    3. data concerning professional competence and reliability;
    4. data other than those referred to in 1.1 to 1.3, the processing of which is required pursuant to or necessary for the application of the law.
  3. Personal data shall be provided only to:
    1. those, including third parties, charged with or directing the activities referred to in the first paragraph or who are necessarily involved therein;
    2. others, in cases where there is a lawful basis based on the AVG. 

2. Applicants, employees and other natural persons working under our responsibility 

  1. Processing shall be carried out only for the following purposes:
    1. assessing the suitability of the person concerned for a position that is or may become vacant;
    2. the handling of expenses incurred by the applicant;
    3. keeping a personnel and responsibilities administration
    4. internal control and corporate security;
    5. the implementation or application of any other law. 
  2. No data other than:
    1. name, first names, initials, titles, gender, date of birth, address, zip code, place of residence, telephone number and similar data necessary for communication, as well as bank account number of the person concerned;
    2. an administration number that does not contain any information other than that referred to in a;
    3. nationality and place of birth;
    4. data concerning education, courses and internships attended and to be attended;
    5. data concerning the position applied for;
    6. data concerning the nature and content of the current employment, as well as its termination;
    7. data concerning the nature and content of previous employment, as well as its termination;
    8. data concerning motivation for the position and the organization;
    9. other data with a view to fulfilling the position, provided by the person concerned or known to him;
    10. data other than those referred to in 2.1 to 2.9 whose processing is required pursuant to or necessary for the application of another law. 
  3. Personal data shall be provided only to:
    1. those, including third parties, charged with or directing the activities referred to in the first paragraph or who are necessarily involved therein; 
    2. others, in cases where there is a lawful basis based on the AVG. 

3. Payroll  

  1. Processing shall be carried out only for the following purposes:
    1. calculating and recording salaries and allowances to or on behalf of data subject;
    2. calculating and recording tax and premiums on behalf of data subject;
    3. settling claims for benefits in connection with the termination of employment;
    4. the implementation or application of any other law.
  2. No personal data other than:
    1. name, first names, initials, titles, gender, date of birth, address, zip code, place of residence, telephone number and similar data necessary for communication, as well as bank account number of the data subject;
    2. an administration number that does not contain any information other than that referred to in a;
    3. nationality and place of birth;
    4. data referred to under 2.1 from the parents, guardians or caregivers of minor employees;
    5. data for the purpose of calculating, recording and paying salaries, allowances and other sums of money and remuneration in kind to or for the benefit of the persons referred to in paragraph 1;
    6. data with a view to the calculation, recording and payment of taxes and contributions on behalf of the person concerned;
    7. data, including data concerning family members and former family members of the persons concerned, which are necessary with a view to an agreed condition of employment;
    8. data other than those referred to in 2.1 to 2.7, the processing of which is required pursuant to or necessary for the application of another law.
  3. Personal data shall only be provided to:
    1. those, including third parties, charged with or directing the activities referred to in the first paragraph or who are necessarily involved therein;
    2. others, in cases where there is a lawful basis based on the AVG. 

Special and/or sensitive personal data we process 

'SVC Groep' processes the following special and/or sensitive personal data about you: 
  • Race (if a copy of an identification document is stored in a file, when we have the legal obligation to do so);
  • Citizen service number (BSN).
  • Reliability data. 
These personal data are used only for the purposes/services agreed upon with the client. 
  
If goals or services change, this will again be coordinated with the person concerned. 
  

On what basis and for what purpose do we process personal data? 

'SVC Groep' processes personal data for the following purposes: 
  • Your consent, such as when sending our newsletter for the purpose of sending you the newsletter;
  • Carrying out the agreement, so that we can call you or send you an e-mail if this is necessary to carry out our services;
  • Legal obligation, because on the basis of laws and regulations we are obliged by our professional association (NBA) to take care of sufficient file storage when performing our work. In addition, we also process personal data when, for example, providing tax returns for our clients. 

How long we keep personal data 

'SVC Groep' does not retain personal data longer than is strictly necessary to realize the purposes for which data is collected or the legal retention periods we are required to follow. We use the following retention periods for the following (categories of) personal data: 
  • For cookies on our website, the retention period is 30 days;
  • Data of a potential client (e.g. sent to our office through the website), will be deleted after 30 days if the potential client does not eventually become a client of our office. If a potential client does become a client of our office, the data will be kept for as long as necessary to provide services to the client;
  • For the recording of personal data in applications and files for the purpose of performing services for the client, our office follows the legal retention period which in many cases is 7 years. 

Sharing personal data with third parties 

'SVC Groep' does not sell customers' personal data to third parties and only provides them if this is necessary for the execution of the agreement we have with the customer or to comply with a legal obligation. This includes the right of inspection of bodies such as the Tax Office. With organizations that process data for our clients on our behalf, we conclude a (sub)processor agreement to ensure the same level of security and confidentiality of clients' personal data. SVC Groep remains responsible for this processing. 
  
In special cases, we may provide personal data to external experts such as a notary, lawyer or pension specialist within the framework of an assignment agreed with the client for these external expert(s). In that case, we will not provide this data to these external expert(s) without the client's consent.

'SVC Groep' uses functional, analytical and tracking cookies, partly through Google Analytics. 'SVC Groep' uses cookies with a purely technical functionality. These ensure that the website works properly and optimize it. We also place cookies that track visitors' browsing behavior so that we can offer customized content.

Viewing, modifying or deleting data 

Data subjects (the individuals whose personal data we process) have the right to view personal data, and to request its correction or deletion. In addition, data subjects have the right to withdraw any consent for data processing or object to the processing of personal data by 'SVC Groep' , and data subjects have the right to data portability. This means that data subjects can submit a request to us to send the personal data we process in a computer file to the data subject, or another organization named by the data subject. 
  
Data subjects may send a request to inspect, correct, delete, transfer their own personal data or request the withdrawal of consent or objection to the processing of personal data to info@svcgroep.nl
  
To ensure that the request for inspection is made by the data subject, we ask that a copy of an identity document be sent with the request. In this copy, black out the passport photo, if applicable the MRZ (machine readable zone, the strip of numbers at the bottom of the passport), the document number and the Citizen Service Number (BSN). This is for the protection of privacy. We respond to the request as soon as possible, but no later than one month. You can use the Copy ID app of the central government for this purpose. You can download this app from the Google Playstore or the Apple Appstore.

How we secure personal data 

'SVC Groep' takes the protection of personal data seriously and takes appropriate (technical) (security) measures to prevent abuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. If data subjects have the impression that data is not properly secured or there are indications of misuse, please contact the management.
